Special Projects Lead
Estimated Number of Hours of Work Each Week: 2-3 hours
• Up to 4 hours a week during the spring season months
• Up to 8 hours in-person attendance 2-3 times a year in Puget Sound region. Travel accommodation may be available.
Term*: Two years, elected in odd years
Position Objective: This position is a member of HAPPEN’s Executive Leadership Team. It serves as the project manager for HAPPEN’s annual ANHPI Heritage Celebration and may provide support for other HAPPEN events or activities throughout the year. This position will recruit, create, and lead teams of volunteer subcommittees through the entire project management cycle in event planning and other ongoing projects.
Role:
• Attends all Executive Leadership Team regular virtual meetings and all in-person Executive Leadership Team Retreats that take place 2-3 times a year
• Attends at least 9 out of the 11 monthly virtual HAPPEN BRG Membership Meetings
• Plan, organize, coordinate, and direct special events
• Act as event liaison between subcommittees and the Executive Leadership Team
• Responsible for third party management of event vendors
• Maintain records on event activities, progress status, and post event summary
• Works with the Executive Sponsors and BRG Treasurer about event and project budgets and expenses for the BRG
• Recruits and solicits for subcommittee volunteers and helps state employees interested in serving for the BRG match with opportunities that align with their passions and skills
• Provides support to the Executive Leadership Team Leads by understanding their committee and project needs and actively recruits volunteers to help them fulfil their mission
• Participate in the decision-making process regarding when and how to share information and support issues
• Provide information to Co-Chairs on committee activities to be included in the annual report
• Assist in making decisions on relevant content and identifying and vetting speakers
• Be on an antiracist journey and model this behavior for membership
Tools and Resources: The person is expected to coordinate with their agency’s leadership for the flexibility to do this work during their work time. If the position is overtime eligible, the person will need to create an agreement with their supervisor to ensure this work does not result in unauthorized overtime. The details of that agreement may differ based on agency and specific job duties. The person will be allowed to use their agency computer and other resources for this work, as appropriate and as required.
